• Provide secretarial and administrative assistance to the executives and others in the department as needed. • Respond to telephonic enquiries in the absence of the sale team and handle appropriately
• Set up and maintain an effective filing system, including a daily
trace file, to ensure all daily, weekly and other pre-set deadlines are
met by the sales team • Continually enhance and improve the
efficiency and organisation of the department by designing and
implementing administrative systems. • Organise, book and confirm all travel plans for Directors as required • Liaise with the Marketing Department to maintain par stock levels of sales brochures and other collaterals.
• Responsibility for making Store Requisitions to order all
administrative supplies and stationery for the Sales & Marketing
team. • Take minutes of sales meeting and other meetings whenever needed • Handle familiarisation trips / client meeting requests and issue memos accordingly • Prepare sales kits • Prepare Purchase Requisitions and follow through with Purchasing and Accounts on payment on invoices • Courier and follow up on signed contracts and update them • Update the database of clients and keep it relevant at all times • Courier/mail-out of invitations of special events organised by the Sales & Marketing department • Prepare and courier prize vouchers and update the required template accordingly • Fill out the weekly dashboard presentation. • Adhere to SOPs of the department and hotel policies and procedures. • Be flexible to take on other duties in the course of a normal work day |
